Akerman LLP, a leading US law firm, is seeking a CLE Administrator based in our Miami or New York office. The CLE Administrator is responsible for the daily coordination and facilitation of firm-wide CLE programs and CLE compliance for lawyers. Under the direct supervision of the Director of Legal Recruiting, the CLE Administrator will be the firm expert and resource on continuing legal education (CLE) and have firm-wide responsibility for all aspects of firm CLE accreditation, program qualification, and individual attorney tracking and compliance.
Essential Duties and Responsibilities:
Serve as firm CLE expert and resource: develop and maintain knowledge base of all state mandatory CLE requirements and act as a resource to attorneys, clients, and staff.
Know, interpret, and summarize CLE requirements, including rule updates or changes, in jurisdictions in which the firm has an office.
Answer questions on an as-needed basis regarding CLE requirements of states other than those in which the firm has an office.
Establish CLE program procedures for in-house and client programs.
Coordinate administrative tasks for all in-house CLE programs, including preparing invitations, tracking RSVP’s, reserving conference rooms and technical equipment, distributing and collecting sign in sheets and evaluations forms and other required documents.
Maintain and audit CLE program files, including training program invitations, course materials, attendance records, remote participation forms, timed agendas, evaluations, and other required paperwork.
Review in-house training materials to ensure participants are CLE qualifying.
Manage CLE processes and approvals for all in-house and client CLE programs.
Apply for and maintain accredited provider status in jurisdictions where applicable.
Apply for individual program accreditation in jurisdictions in which the firm is not an accredited provider to provide maximum CLE credit for in-house and client programs.
Prepare and submit year-end reports, accredited provider renewal applications, and other mandatory CLE reports to ensure the firm’s accredited provider status in key jurisdictions.
Monitor CLE course certificates from outside vendors to ensure they are accurately kept and recorded.
Serve as Micron CE Manager subject matter expert and troubleshoot system issues as appropriate.
Enter all firm-sponsored CLE programs into Micron CE Manager and distribute CLE certificates to firm attorneys.
Upload and maintain training program materials and videos in Micron CE Manager.
Maintain physical and online CLE records for attorneys, including updating Micron CE Manager to reflect both attendance information for firm-sponsored programs and CLE certificates from outside programs attended by attorneys.
Draft communications to attorneys on rules, CLE course credit awards, updates on rules and regulations, upcoming programs, deadlines, compliance status, etc.
Monitor attorney CLE and state bar registration compliance, follow up with attorneys, and prepare related reports for management.
Provide CLE administration of client programs, tracking of firm-provided client CLE in Micron CE manager, creation and distribution of CLE certificates of attendance, and maintenance of client CLE library.
Suggest ways to improve CLE processes and programs.
Take on other projects and duties and provide general administrative support, as needed.
Bachelor’s Degree with at least three years’ experience with similar responsibilities in a large law firm with multiple CLE jurisdictions.
Demonstrated knowledge of jurisdictional CLE compliance rules and regulations; Expertise with California, Florida, Illinois, New York, Texas, and Virginia CLE requirements strongly preferred.
Experience with Micron CE Manager or similar law firm CLE tracking software is required.
High level of proficiency in Microsoft Office software applications.
