Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking a Secretarial Assistant III for the Rutgers School of Law, Clinical Program.
The Secretarial Assistant III will provide general secretarial and clerical support to Clinic attorneys and some duties include but are not limited to: -Utilize computer systems to revise or create letters, pleadings, reports, forms, briefs, spreadsheets, or other documents pertaining to the attorneys’ area of practice from rough draft, corrected copy, or dictation. -Arrange meetings and associated logistics, provides information, greets and directs visitors to proper destination, organizes schedules, makes appointments and reservations, maintains records and files, and completes related duties. -Assists faculty and clinic administrator with developing administrative systems and databases. -Utilizes clinic and university online systems to assist faculty and clinic administrator with case management, expense management, course management, along with reimbursements and supply orders. -Provide administrative support to Clinic students and Clinic administration as needed.

Minimum Education and Experience:
Requires a high school/vocational school education or equivalent, plus one of the following: a) Four years secretarial experience; b) One year college level study plus three years of any equivalent combination of: secretarial experience, advanced secretarial training, or clerical experience, provided secretarial experience accounts for at least one year of any such combination; c) An equivalent combination of secretarial experience and up to two years advanced secretarial training.
Required Knowledge, Skills, and Abilities:
Three years of experience as a secretary or administrative assistant in a law or law related office; working proficiency in Microsoft Office.
Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and/or email.
Must be able to communicate effectively.
Must have effective client service skills.
May require shorthand, stenographic, and/or machine transcription skills.
Fluent in Spanish. Working knowledge of (1) e-filing and requirements; (2) Clio or similar law practice management software; (3) Adobe; (4) Filemaker or similar database software; (5) online procurement systems.
