Reports to: Director of Professional Development, Training and Inclusion

SUMMARY: As a member of the firm-wide Professional Development Department, this position is responsible for supporting to the Director of Professional Development, Training and Inclusion and the Pro Bono Manager on a number of initiatives related to assisting with administering career and professional development initiatives for DWT attorneys, and DWT's pro bono program.
Perform analysis upon intake of potential new pro bono matters for compliance with policies, conflicts, billable credit eligibility and appropriate supervision, assigning client/matter numbers and compiling statistics and record keeping, and communicate with lawyers and staff regarding billable credit eligibility decisions.
Maintain internal workflow systems, logs and pro bono intranet (portal), including detailed and accurate records of the firm's pro bono representations, attorney profiles and knowledge management resources.
Regularly update internal pro bono opportunities database.
Be knowledgeable about the network of legal service providers.
Be knowledgeable about pro bono policies and procedures, respond to attorney and staff inquiries and be the clearinghouse for legal information materials.
Attend internal and external pro bono-related meetings, conferences and workshops as needed.
Provide logistical support for pro bono-related trainings and events.
Screen requests for pro bono services from outside individuals and entities including referrals from firm clients and work with Pro Bono Manager to make referrals; flag potential quality assurance concerns such as positional conflicts.
Assist with responding to survey requests (e.g. ABA Pro Bono Challenge Report, NALP, bar associations, etc.) as needed.
Assist with responding to attorney requests for their pro bono hours.
Provide staff support to the Pro Bono Committee (bi-monthly meetings).
Provide other administrative support for Pro Bono as needed, including making travel arrangements and preparing expense claims.
Maintain schedule for multi-firm volunteer participation in domestic violence clinic.
Provide administrative assistance to the Pro Bono Manager on tasks related to the project management of larger initiatives.
Coordinate and administer logistical aspects related to the mid-year and annual review processes, including, but not limited to: managing and distributing large amounts of data and materials; responding to numerous inquiries and requests; administration of scheduling meetings (arranging conference room booking, audio visual requirements, logistics, materials, etc.).

Facilitate relationships between Professional Development, HR, Accounting and IST departments to ensure critical data and other information is shared and provided in support of department and firm needs.
Assist with various projects as necessary, including researching and analyzing current trends in the marketplace and with respect to Professional Development initiatives.
Maintain relationship and membership roster for American Bar Association (ABA) and Practising Law Institute (PLI).
Assist in the administration of Professional Development events (i.e., conference room booking, audio visual requirements, speaker confirmations, logistics, materials, etc.).
Provide administrative assistance to the Director of Professional Development, Training and Inclusion, for administrative tasks related to Attorney Evaluation Committee, Readiness Evaluation Committee, Diversity & Inclusion Committee and Share Committee, which can include drafting letters and charts, scheduling meetings, travel arrangements, copying, filing, etc.as needed.
4+ years' prior experience in a law firm or other professional services organization is required.
College degree preferred or equivalent combination of relevant work experience or education. JD would be a plus but is not required.
Demonstrated proficiency with or ability to learn portal-related web design programs; previous experience with Vi or ability to learn and use database application preferred.
Ability to maintain professional discretion when dealing with highly sensitive, confidential information.
Demonstrated ability to communicate effectively and professionally with lawyers and staff, both in written and verbal communications.
Attention to detail, accuracy, analysis and organizational skills.
Strong interpersonal skills, ability to work in a fast-paced environment and in both team and independent settings.
Strong client service skills required, including understanding and responding to a variety of inquiries and requests, required.
Ability to work well under pressure and meet deadlines required.
High degree of sensitivity to confidential matters required.
Demonstrated knowledge of Microsoft Word, Microsoft Excel and Access required; knowledge of all MS Office products, including SharePoint, strongly preferred.
Demonstrated project management skills.
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to sit; stand; walk; and occasionally stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
