Work with Management Team and employment attorney to ensure that all human resource-related matters are handled appropriately and in compliance with applicable local, state, and federal labor laws and regulations.
Review and submit payroll biweekly to payroll processing company.
Review, improve, and update employee onboarding and benefits policies and procedures in collaboration with senior Management Team.
Create, maintain and implement rewards and recognition program for staff.
Update and maintain SSFS Policies and Administrative Procedures Manual in consultation with Management Team and employment attorney.
Regularly research market trends in compensation and benefits and make recommendations to improve SSFS compensation and/or benefits.
Determine staffing needs in collaboration with administrators and senior Management Team, and compile/draft/update job descriptions for paid staff and interns accordingly.
Oversee full life cycle recruiting and retention of paid staff and interns.
Oversee and participate in the interview/hiring process.
Schedule pre-employment drug testing and complete criminal background checks and reference checks.
Ensure completion of all required paperwork and maintain employee personnel files.
Administer employee benefits – insurance, PTO, FSA, HSA, 403(b), FMLA, short-and long-term disability, workers compensation, etc.
Present agency orientation to all new staff and interns.
Participate in the termination and performance review process.
Prepare quarterly in-house newsletter.
Prepare and submit statistics and reports to the Executive Director, Finance Associate, Development Director, and Grant Writer as required.
Conduct mediation/conflict resolution sessions as needed.
Coordinate annual United Way Employee Giving Campaign.
Oversee all office systems (utilities, telecommunications) and office purchases, including equipment, supplies, storage, archives, housekeeping, etc.
Oversee facilities of four locations including tracking maintenance needs and trends and creating a capital improvement plan for long term facility maintenance.
Review, negotiate, and manage vendor contracts, equipment leases, and outsourced providers (insurance, brokers, payroll, IT, etc.).
Supervise Office Manager.
Assist Executive Director in annual budget development and regular review of expenditures.
As a member of the Management Team, assist with maintaining compliance of grant contracts and other funding related requirements.
Assist Executive Director and Finance Associate with billing in accordance with funding related contracts, MOUs, etc.
Maintain knowledge of SSFS and a personal commitment to its mission and goals.
Attend regular Management Team and Administrators meetings.
Attend mandatory SSFS All Staff meetings and other meetings designated by the Executive Director.
Work with other SSFS staff to maintain open communication and develop a team approach.
Other duties as assigned.
Bachelor’s degree; Master’s degree preferred or commensurate experience from which comparable skills were acquired
A minimum of 5 years of Human Resources experience in the areas of compensation, benefits, staffing, organizational development, and employee relations, preferably in a nonprofit organization
Understanding of nonprofit finance and accounting. Experience with budget planning and development
Excellent writing, technical, analytical, problem solving, conceptualizing, project management and research skills
Strong managerial, leadership, communication, and interpersonal skills
Good conflict resolution skills
Ability to work independently and within a team environment
Self-motivated, takes initiative.
Detail oriented and highly organized. Demonstrated ability to effectively manage time and multiple projects, and meet deadlines
