PROPERTY MANAGER for prestigious 1.4 Million SF property (4 bldgs), 15.43 acres, 2 garages •Property Manager will assist the General Manager in coordination and execution of the strategic plan that Vanderbilt Office Properties has presented for The Towers at Williams Square. •Maintain The Towers at Williams Square in a first class condition. Lead and direct all personnel related to the properties and oversight of all operations/facilities taking guidance and direction from the General Manager. •Minimum of 5 years commercial property management experience, proven leadership skills, and a high level of energy and excitement, a history of working well both independently and as a team.
CHARACTERISTICS •Four-Year College Degree required •Must perform well under pressure, maintain a positive attitude at all times, , have the desire and ability to motivate self and a team, have strong oral and written skills, and have years of experience in providing exceptional customer service. •Communication amongst all team members is a requirement. •Develop and maintain relationships with suppliers, vendors, contractors, and all others serving the property. •Proactively walk the property to ensure vendor services are being performed. •Ability to provide general oversight of construction and associated administrative duties (i.e. contract, pay apps, lien waivers, close-out documents, inspections, etc.). •Maintain a positive relationship with local officials (as appropriate). •Ability to process problems and recommend solutions to such problems. •Calm and intelligent crisis manager with developed conflict management skills. •Flexibility is essential with the ability to multi-task. •Financial and asset manager. •Ability to follow and enforce policies and procedures. •Energetic •Ability to travel periodically as required for the position.
TECHNOLOGY •Experience with Yardi and Asset Management (Realogic) software preferred. •Proficient in Microsoft Word, Excel, and other programs.
PERSONNEL •Responsibilities include assisting in employee training, termination, and implementation of other employment decisions for employees with direct reports in accordance with Vanderbilt’s human resource policies and procedures and guidance from the General Manager all in accordance with the law. •Lead and supervise a team consisting of two Administrative Assistants, Chief Engineer, and maintenance personnel. •Oversight and final approval of staff payroll. •Motivate the Team through planning and implementing Team Events to encourage employee engagement. •Manage outside vendors and contractors that have been engaged for service. •Ensure observance of safety regulations. •Oversight of the insurance claim reporting process.
FINANCIAL •Oversight of the charge and collection of rents and other fees in accordance with lease agreements. •Follow procedures outlined in lease agreement for late rent collections and work with the General Manager, Corporate Accounting, and attorney to default. •Review and analyze monthly statements including but not limited to variance reporting. •Responsible for monthly accruals. •Responsible for the preparation and development of the annual operating budget for The Towers at Williams Square with direction from the General Manager. •Review and approve all property purchases recommended by team members within the purchase guidelines. •Responsible for the preparation of all contracts for goods and services within the Company policies and procedures and in accordance with budgetary guidelines. •Review capital expenditure needs and involve General Manager and Chief Engineer for additional direction when necessary. •Review of the Parking Company operations including but not limited to monthly reporting, access card activity, and validations. Notify General Manager of any concerns.
TENANT ACTIVITY •Ability to manage customer complaints and concerns. •Assist with the Leasing Team efforts as requested. •Walk vacancies to ensure those maintain “show condition.” •Develop and implement plan to periodically visit the tenant base and coordinate with the General Manager’s efforts. •Track all interaction/visits with tenants. •Report tenant concerns to the General Manager. •Work in coordination with the Concierge to plan and execute tenant events.
