Orrick currently has an excellent opportunity in our Global Operations Center in Wheeling, WV for a Project Assistant.
Under the direct supervision of attorneys, analysts or paralegals, the Project Assistant supports the delivery of quality legal services to clients by performing technical and clerical tasks that require accuracy, strong attention to detail, organizational skills, strong written and oral communication skills, and computer proficiency. (S)He will assist others with document collection, review and production in connection with internal and regulatory investigations and civil actions, focusing primarily on the organization and preparation of case materials and clerical functions as required.
The Project Assistant is expected to provide staffing and management support and assistance to DRS Management in order to ensure the smooth staffing and operation of document review projects. The sourcing, receiving, supporting, and exiting of contracted personnel is a key component of the position. (S)He is expected to assist DRS Management in ensuring approved processes are followed and required documentation is maintained.
Support attorneys in the documentation associated with document collection, search, review, production and other case team support.
Maintain case SharePoint sites and perform document uploading and indexing.
Support attorneys in preparation of privilege logs and production of documents to regulatory agencies and civil litigants.
Perform electronic searches for defined terms using databases, deposition and document searching software.
Assist in the organization of case materials and exhibits.
Prepare document indices.
Compile and index deposition transcripts and exhibits.
Review documents for basic facts or names and perform redactions, when necessary.
Compile special reports of project staffing, productivity, and/or budget information.
Maintain collection of cast statistics for future budget development.
Review pre-bills for correct rates, spelling and other details.
Prepare and process forms required by Human Resource. (e.g., EANs)
Review Applications and Professional Responsibility Questionnaires ("PRQs") for completeness and forward required paperwork to designated HR representatives and the Conflicts Department.
Maintain contact with staffing agencies regarding contractor availability and the Center's staffing needs.
Provide orientation to new contractors and perform Time KM initial training for new reviewers.
Compare and review time sheets for accuracy in Time KM using billing reports and forward timesheets to staffing agencies.
Prepare Payment and Funds Request Forms and forward to Accounts Payable for payment.
A bachelor’s degree is preferred, and a paralegal certificate from an ABA-approved training program is preferable but not required.
Strong process and personnel management background with 2 -3 years of experience in progressive positions of responsibility.
Candidates need to be detail-oriented, have a flexible work schedule and demonstrate excellent organizational, verbal and written communication skills.
Ability to become familiar with the procedures, terminology and documents relating to complex litigation matters.
Strong analytical skills and the ability to identify and index case-related documents.
Ability to work effectively and proactively within a team environment.
Excellent computer skills with proficiency in Microsoft Word and Excel and databases.
Strong time-management skills and the ability to work under pressure in a fast-paced environment; ability to coordinate multiple tasks concurrently.
