Seeking legal administrative assistant to support 3 attorneys. This role is an essential member of the leadership team reflecting the values, engagement, and professionalism of the organization. Work requires attention to detail, proactive action, management of multiple priorities and implementation with minimal direction.
The ideal candidate is detail-oriented, possesses outstanding communication skills, has strong project management skills, superior organizational skills, the ability to follow procedures and direction, and works well in teams. Must possess the ability to prioritize and multitask in a fast-paced environment with tight deadlines. Acumen for working in and maintaining databases highly desirable. This person must have a positive outlook during periods of high demand.
Many company and departmental matters are of a highly confidential nature. It is imperative that he or she has a clear understanding and respect for the sensitivity of such material.
General administrative duties:
Provide administrative assistance to the legal team to enhance their effectiveness. Regular administrative duties include: scheduling meetings, opening mail, ordering supplies, reviewing electronic invoices, preparing correspondence and presentations, assisting the department in the daily routine of office management, manage expense reports.
Prepare and keep up-to-date calendar for lawyers, working with them to prioritize multiple requests for time. Proactively review the lawyer's calendar, to insure there is adequate time to prepare for and follow up on meetings.
Arrange travel and be on call to change reservations when necessary. Coordinate international travel with Rockwell Automation contacts and ensure passports, visas, etc. are up to date and correct.
Project manage and maintain database that tracks third-party compliance. This includes assignment as System Administrator, provide training to end users, and act as a primary resource for support questions.
Provide assistance in contract review (formatting, spelling and grammar checks)
Open, maintain, and close matters using company eCounsel software
Organize and maintain electronic documents
Answer and direct telephone calls with appropriate phone skills and discretion
Schedule equipment repair, order supplies, welcome visitors, and direct inquiries to the legal department
Establish and maintain successful working relationships with other associates in the area and act as back-up support for department manager and legal administrative assistants.
Maintain Bar Association dues and Continuing Legal Education (CLE) compliance for multiple lawyers.
Track and report training provided by in-house lawyers.
Occasionally work extended hours as required.
Minimum of two years' experience in an administrative support role.
Proficient computer skills (i.e. full facility with MS Word, SharePoint, Excel, PowerPoint and Outlook)
Adjust quickly and effectively to changing circumstances while remaining focused.
Proactive ability to recognize needs, solve problems, anticipate issues and develop solutions.
Demonstrated interpersonal skills required to interact with Rockwell Automation employees, customers, and partners.
Must be able to balance many priorities/demands effectively, and proactively manage upcoming demands on the attorney's time.
High school diploma or equivalent is required.
A college degree is a plus.
Experience in a law firm or in-house legal department
Some previous experience with database management and use of third-party compliance software (Hiperos)
Experience with matter management software (Mitratech)
Experience using SharePoint, OneDrive and SAP.
