The Executive Assistant to the Vice President for Legal Affairs and General Counsel is an exempt, full-time administrator position which reports to the Vice President for Legal Affairs and General Counsel.
The Executive Assistant provides support to the Vice President for Legal Affairs and General Counsel in managing all aspects of the day-to-day legal workflow and administrative operations of the Office of Legal Affairs. The incumbent provides executive-level administrative and paralegal support services to the VP and General Counsel and other university attorneys. The position ensures that projects, duties, and responsibilities of the office are carried out in a responsive and service oriented manner. In this role, the incumbent manages legal, financial, and other confidential and sensitive documents and correspondence of significant complexity with the utmost care and professional discretion. This position may work some evening and weekend work hours as needed. The position performs additional duties as assigned.
The requirements listed below are representative of the knowledge, skills, and/or abilities required for the Executive Assistant to the Vice President for Legal Affairs and General Counsel.
Specific Job Requirements: ABA-approved paralegal certificate or Bachelor's degree in relevant field and at least -five years of experience supporting a sophisticated transactional legal practice or an equivalent combination of training and experience. Possess a current California Notary License or have the ability to obtain one within 6 months of hire. Experience in managing project timelines from beginning to work, including proven ability to follow up on deadlines and project requirements with appropriate person/people. Strong analytical thinking skills to identify needs, determine potential problems, research and gather information and resolve varied problems. Demonstrated ability as an advanced user of Microsoft Office software, Adobe, PACER and ability to conduct internet research. Demonstrated ability to work under pressure in a busy office with frequent interruptions, changing priorities and short deadlines, and complete assigned duties in a timely manner with excellent outcomes.
General Job Requirements: Exemplify a strong attention to detail and accuracy. Ability to persuade, gain cooperation, and acceptance of ideas or collaborate on significant projects. Possess strong writing skills to prepare clear, concise, and grammatically correct business correspondence. Ability to maintain a high level of confidentiality and to consistently conduct oneself in a professional and diplomatic manner. Ability to develop and maintain relationships with key contacts to enhance workflow and work quality. Excellent interpersonal skills, with the ability to interact with diverse individuals and groups at all organizational levels, both inside and outside the University. Strong organizational skills to manage multiple projects and deadlines and large volume of paperwork.
Desired: Seven (7) or more years of experience serving either as a paralegal or equivalent experience. Experience in a mid-size or large law firm transactional practice or as a general counsel's executive assistant with transactional responsibilities is highly desirable.
