This position is primarily responsible for processing invoices from our largest electronic vendors, and managing print and electronic serials through their lifecycle.
Manages all aspects of continuing resources (print serials and electronic resources) modules in Softlink’s Liberty integrated library system.
Understands the life cycle of digital serials so that current status of given issues is available for all attorneys and staff in the online catalog.
Maintains routing lists for all materials including desk books and office copies so that attorneys receive current awareness and updated primary law in a timely fashion.
Generates relevant reports regarding serials usage and acquisitions as needed.
Responsible for all electronic resource check in, routing and maintenance.
Claims missing issues and works with information vendors as needed.
Responsible for invoice processing for large vendors including Lexis, Westlaw, Bloomberg, and PACER, among others.
Works with the Acquisitions module to follow through on all continuing resource acquisitions.
Assists Library Systems Librarian with ILS and serials projects as needed.
Acts as a backup to other department coordinators.
Additional duties as required.
Education: College degree or equivalent experience. ALA-accredited, Master’s degree in Library Science preferred.
Experience: Experience using an integrated library system, preferably Softlink’s Liberty library software. Experience in a law firm or corporate library a plus.
Skills: Candidates must possess excellent verbal and written communication skills. Must have excellent organizational skills, ability to prioritize workload and solve problems. Proficient typing and computer skills including knowledge of MS Office and Microsoft Excel. Must have a strong service orientation, and ability to work with a team.
Supervisory Responsibilities: None.
Equipment to be Used: Must be able to operate computer and other office machines such as fax, calculator, telephone, etc.
Typical Physical Demands: Requires manual dexterity to operate standard office machines such as computers, fax machines, calculators, telephones and other office equipment. Also requires ability to spend long hours on a personal computer.
Typical Mental Demands: Requires the ability to multi-task, handle projects from various individuals and meet deadlines. Must be able to handle stressful situations and interact professionally with various personalities within and outside the Firm. Must be able to make judgment decisions and adapt to changing work situations. Must be able to grasp and apply new ideas.
Working Conditions: Occasionally called upon to work overtime. Works in a typical office setting.
