As the Director of Administration at Latham, you will function as a business partner with the Office Managing Partner, contributing to the strategic planning and implementation of goals and objectives for the office (“the Office”) for which you will be responsible. You will provide direction, guidance, and advice to all administrators, managers, supervisors, attorneys, and staff regarding the general business operations of the Firm and the Office. The Director of Administration will develop and supervise the Office staff by performing a multitude of responsibilities related to the following functional areas: accounting/finance, human resources, marketing/business development, research/library, technology, facilities/operations, secretaries, litigation services, and the administrative components of the Firm’s Committees. The Director of Administration will also serve as a business partner to global departments, including, but not limited to, those that operate out of the Office while accomplishing these and other critical functions:
Staying abreast of current and pending applicable employment laws and judicial precedents and market trends, in order to make recommendations for the business and operational strategy for the Office; assisting in developing administrative and business goals for the Office
With the Office Managing Partner, Chief Administrative Officers, and Chief Operating Officer, developing the strategic priorities for the Office and executing such priorities effectively, efficiently, and in a manner consistent with the Firm’s culture
Working with the Office Managing Partner, Chief Administrative Officers, and Chief Operating Officer to develop, interpret, and monitor the practices, policies, and procedures of the Office, ensuring they are aligned with the goals, priorities, and practices of the Firm
Interfacing with attorneys on administrative matters as required; informing partners of pertinent activities within the Office and of outside factors which might impact the business of the Office from an administrative perspective
Acting as liaison to managers, supervisors, and attorneys regarding all operations that support client services and the needs of the attorneys; ensuring that the Office and Global staff teams provide quality support resources to attorneys, paralegals, and other staff
Researching, developing, and recommending approaches to management issues; planning for the changing needs of the Firm and the Office and contributing to cost-effective management
Actively monitoring and taking steps to mitigate business, operational, and other risks facing the Office and working with Firm senior leadership to address challenges and mitigate risk
Managing internal communication and efforts with other Latham management to develop initiatives for the Office and to educate attorneys, staff, and others about recent developments and trends
Working with Office Managing Partner and members of the Global Finance team to administer department accounts, approve expenses, and prepare the annual headcount and operating budgets for the Office, in line with Firm-wide budgeting guidelines; reviewing variances monthly and providing analysis and reports to effectively manage the budget throughout the year
Together with the Office Finance Committee members and members of the Office and Global Billing teams, monitoring, encouraging, and supporting billing completion, including reviewing WIP and A/R balances; reviewing monthly billing and collections reports and providing analysis and background information to the Office Managing Partner, the Office Finance Committee member, and Global Finance Committee chair; ensuring adequate staffing to billing attorneys and local billing team to maximize billing and collections efforts
Collaborating with the leadership of other offices and functional areas to develop and implement cross-office initiatives that are complex in scope and design; demonstrating consistent leadership to ensure successful implementation of such initiatives
Working with the Global Real Estate group, supporting Office construction projects, supervising facilities maintenance, and participating in landlord relations; managing the use of space to ensure optimal utilization; participating in discussions and analysis related to real estate decisions, such as the need for increased or reduced space
Updating skills in management, communication, and technology by participating in appropriate professional development offerings throughout the year
Handling escalated business inquiries and issues to ensure quick, equitable resolution
Collaborating with the leadership of other offices and functional areas to develop efficient procedures/communications in order to streamline processes and satisfy various department needs where overlap or duplication may exist, or where opportunities for greater efficiency are present
Developing and supervising Office staff by overseeing a multitude of functions, including but not limited to, hiring, assigning, training, evaluating, engaging, disciplining, terminating, and compensating Office staff
Working with other members of the Administrator, Chief, and Director community on special projects as needed
Promoting effective work practices, working as a team member, and showing respect for co-workers
As the Director of Administration, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Director of Administration must have strong management skills in finance, human resources, operations/facilities, technology/information services, attorney relations, change initiatives, and strategic planning. Excellent leadership skills (i.e., organizing, planning, problem-solving and decision-making) necessary for effective management and well-developed and professional interpersonal skills are desired, including the ability to interact effectively with people at all organizational levels of the Firm. The Director must display strong analytical and problem-solving skills with the ability to draft, review, and negotiate contracts or other communications as needed. The Director of Administration must possess the ability to work in and foster a team environment with a customer service focus while developing extensive knowledge of firm procedures, policies, and practices. The ability to demonstrate creative thinking while providing strategic support to senior management is desired.
A Bachelor's degree or equivalent in Business or a related field is required. An MBA or related Master's degree or equivalent is preferred. A minimum of fifteen (15) years of progressively responsible office management experience in legal or a professional services environment is desired.
