The Legal Assistant is part of a team of administrative assistants in the Office of the General Counsel (OGC). This position performs a wide range of secretarial and administrative/clerical office duties, requiring knowledge of University and departmental policies and procedures, as they relate to the legal work performed by the OGC's University Attorneys and leadership. Typical duties and responsibilities include, but are not limited to, the following:
Processes and edits correspondence, memos, and legal documents, including photocopying, scanning and redacting information from documents, and transcribing handwritten documents and recorded messages.
Performs specialized typing assignments, requiring rapid and accurate typing of technical/legal material.
Prepares various legal documentation, such as pleadings, affidavits, corporate filings, and legal memoranda Evaluates bankruptcy notices and conducts internal processes to identify Harvard claimants and related tasks
Creates, organizes, and maintains files, both hard copy and electronic, for a variety of legal matters, using the office's electronic docket and document management systems, including organizing complex, voluminous, multi-media materials, such as party submissions related to internal misconduct investigations
Flags for attorneys the arrival of correspondence or pleadings, or outreach from clients, that indicates a need for immediate attention by a lawyer
Manages calendars, arranges meetings, schedules rooms and equipment
Answers phones, being mindful of the law office's confidentiality obligations while also serving the needs of clients
Processes expense reports and reimbursements
Maintains contact lists for attorneys and office
Manages archiving of files for all OGC attorneys
Makes edits and updates to OGC website and Wikipage
Provides support for other OGC attorneys as needed to cover other administrative staff absences
Works collaboratively with other administrative staff to improve office functions and accomplish tasks that involve group efforts
Is available to coordinate other department projects as needed.

Minimum of 3 years of related experience in an administrative support role. Must be extremely proficient with Microsoft Office Products (Outlook, Word, PowerPoint, Excel).
Bachelor's degree preferred. Prior work experience in a law firm preferred. Working knowledge of legal terminology and how one cites state and federal regulations, code sections, and legal decisions. Candidate will be a notary public or be willing to obtain a notary public certification at the OGC's expense. Superior interpersonal skills with proven ability to successfully interact and collaborate with varied constituencies in a professional manner, exhibiting excellent written and oral communication skills. Ability to work independently as well as collaboratively as part of a team. Ability to handle confidential information with discretion.
