The Legal Operations Specialist will report to the Deputy General Counsel – Global Litigation, Employment and IP and be responsible for program and project management. This position will initially be responsible for optimizing, and administering matter management, which includes ebilling systems for internal and external matters, respectively.
Sole manager for ebilling, and matter management for the Law Department.
Manages relationships with billing departments in approximately 300 domestic and international law firms, including collecting budgets, status updates on open cases, training firms new to our system, directing firms where to post invoices and enforcement of HBI's billing guidelines.
Works directly with A/P departments to set up all necessary vendor information (updates to existing vendors or addition of new vendors) so that payments can be processed electronically.
Analyzes outside counsel billing practices against in-house requirements
Maintains and updates outside counsel billing guides and related tools
Identify, collect, and report on global key performance indicators to provide visibility to the General Counsel and leadership team to help with legal spend management and progress on diversity programs
Work cross-functionally with professionals in Legal, Finance, IT, and others
Collaborate on various ad hoc Legal Operations projects to ensure progress against larger strategic Legal Operations goals for CBRE Legal
Statistical analysis of complex data sets related to outside counsel engagements Review and assign service of process to appropriate recipients who will handle the matter Potentially assist with E-Discovery, legal holds and other litigation processes
Bachelor's Degree with 5+ years of work experience in legal pricing environment, with minimum of three years in law firm pricing function
Time management and multitasking/prioritization experience
Experience in all Microsoft Office applications, especially Excel
Experience with Legal technology (e.g. Legal Tracker (fka Serengeti), or other e-Billing tools and legal-department-focused tooling)
Experience dealing with all levels of an organization and law firms' organizations (partners, attorneys, administrative assistants, billing teams, etc.)
Experience recognizing needs, solving problems, and anticipating issues
Knowledge in litigation and transactional matter lifecycles
Demonstrable experience with designing, negotiating and evaluating alternative fee arrangements
Project management experience
Proven communication experience with partner-level outside counsel attorneys and pricing directors of law firms
Demonstrated track record of influencing senior level stakeholders (both internal and external)
Knowledge in law firm pricing and billing practices
Knowledge of the process for engaging outside counsel including key value drivers of outside counsel engagements for multi-national companies
Experience working with large in-house legal team Spanish or other foreign language proficiency
