This is a full-time, managerial position, and days of work and hours are Monday through Friday, 8:30 a.m. to 4:30 pm. Note: This position is in the “NL” category of employment (non-fixed work week) and individuals in this role have no claim or entitlement to time off or cash compensation for hours worked beyond their normal schedule. Occasional evening and weekend work may be required as job duties demand. It is the policy of the College to grant hour for hour compensatory time off, with advance approval, only when employees are required to work on a regularly scheduled day off, Saturday, Sunday or a holiday. Time earned must be used within one fiscal year from the time it is earned.

Under the direction of the Controller with a dotted line to the Assistant Controller, is responsible for complex financial analysis related to operations, capital and risk. Responsibilities include variance analysis, forecasting, transfers and monthly reporting. In addition, this role will be responsible for the day to day activity of Risk Management as well as influencing policy in this area. The incumbent is expected to work in a self-directed manner and display considerable initiative and solid analytical skills.
1. Monitors capital project budgets preparing variance analysis on a monthly, quarterly and ad hoc basis. Tracks budgets, change orders, payments and open commitments. Reconciles spreadsheets to construction managers’ report and Banner on a monthly basis. Approves all purchase orders and invoices for capital projects assuring sufficient budgets are available. Monitors and reconciles open commitments by line item to total project cost and contract. Prepares adjusting journal entries as appropriate. Reviews payments to ensure charges were made against the proper Banner account and expense account. Reconciles total amounts paid and due to vendors to Banner system and vendor contract ensuring they are in accordance with agreements. Performs financial analysis to ensure capital funds are accounted for and managed within budget. Attends and participates in project related meetings. Identifies issues/ problems and recommends to the Director corrective action. Compiles and analyzes expenditures and other financial data as required. Prepares informative analysis containing finding and conclusions.
2. Maintains database of utilities, usage and costs. Calculates chargeback to auxiliary accounts/ monitors account expenditures. Maintains a database of utility usage and costs to develop multi-year utility projections and informational reports. Provides utility information as requested for new capital projects, procurement, and on an ad hoc basis. Facilitates the procurement of new energy contracts as required. Establishes liaison and maintains cooperative working relationship with utility companies. Reviews monthly utilities charges to insure billings are correct and complete. Processes utility invoices for payment in a timely manner. Prepares journal entries for charge backs on a monthly basis. Prepares any other ad hoc analysis as requested.
3. Provides support for business services and other units as needed.
4. Creates and maintains Banner Finance manual in order to provide workshops and one-on-one training for the campus community related to finance. Provides one-on-one training session to campus community.
5. Compiles and prepares accurate informative financial analyses containing findings, conclusions and recommendations for above listed duties.
6. Prepares any other ad hoc analyses or related work as required.
7. Maintain all records for College’s capital fixed assets Review all capital purchases to determine which need to be capitalized monthly. Determine which asset category to record. Reconcile capital fixed assets to the general ledger quarterly. Depreciate capital fixed assets monthly. Add equipment fixed assets to the SAGE system as needed.
8. EFA monthly posting and reconciliation to the general ledger.
9. Serves as Liaison between Student Accounts, Financial Aid and the Controller function
In that role:
Develops data control procedures to verify the adequacy and effectiveness of the finance and student account systems. Supervises the analysis and system review of all student accounts information contained in the General Ledger to ensure operational accuracy and efficiency.
Specifically responsible for reconciliation on the general ledger to the financial aid system for the FISAP, Foundation Scholarship information and Perkin’s Loan information. Responsible for accounts relating to Student Receivables, Financial Aid Grants and other Student related accounts.
10. Business Services Adaptive expert.
Supports the AVP of Business Services as the Risk Manager for the College by managing daily tasks. Gathers information on cases, prepares correspondence, and acts as liaison with the State Attorney General’s office and the State of New Jersey Risk Manager regarding tort claims. Reviews existing policies and effects policy change where needed with respect to various insurance coverage for the College. Maintains accurate records and documentation regarding the College’s insurance activity, looks for trends and influences change. Also serves as a member of the Safety Committee.
11. Required to post journal entries daily (as needed).
12. Other duties as assigned.
Graduation from an accredited college with a Bachelor’s degree supplemented by a Master’s degree in Accounting or related field.
Applicants who do not possess the required education may substitute required experience on a year-for-year basis (30 credit hours is considered one year of college).
Minimum four years professional experience specific in accounting or financial/cost analysis.
Experience in risk management, student accounts and budget preferred.
Additional Knowledge, Skills and Abilities
Advanced knowledge of Excel, Access, PowerPoint and other Microsoft applications within an integrated financial system.
Considerable knowledge of financial analysis and variance reporting and interpretation of financial data, with demonstrated attention to detail and accuracy. Knowledge of Banner or similar ERP system
Considerable knowledge of student accounts area including exposure to FISAP and scholarship accounting.
Considerable knowledge in Risk Management with the ability to analyze exposure areas facing the College and identify and implement solutions and set policy.
Demonstrated initiative and the ability to function in an independent manner with sound problem solving abilities.
Excellent organizational, time management, interpersonal and communications skills.
Ability to handle multiple tasks and projects simultaneously, while effectively meeting tight deadlines.
Ability to function within, and contribute to, a collaborative team environment. Ability to develop and maintain professional working relationships with College staff and external agencies.
