This is a full-time, CWA position, in the “NE” category of employment and hours of work and days are determined by the supervisor. Note: Employees serving in job titles assigned specific workweek limits of 35 or 40 hours are entitled to be compensated for approved time worked in excess of their normal workweek at the rate of time and one-half. For those with Monday through Friday schedules, this means a Saturday, Sunday or Holiday.

Reporting to the Assistant Director of Capital Accounting and Risk Management, provides professional and technical functions using policies, procedures, precedents and guidelines as established for the accounting area in the Office of Business Services. Performs accounting and reconciliation functions, and ensures all deadlines are met. Supports the Assistant Director of Capital Accounting and Risk Management with capital, debt and risk management, and does related work as required. Also responsible for some administrative tasks for the overall Business Services Department.
Support Controller with general office functions including document and spreadsheet preparation.
Establish liaisons and maintain cooperative working relationships with other staff or areas whose functions impact on assigned responsibilities.
Assigns and monitors the work of students and/or staff, identifies problem areas, and provides suggestions for improvement.
Consults with the supervisor regarding issues and concerns encountered in the course of duties recommends resolution.
Gather and compile materials to set up and maintain TORT files including notifying State Department of Risk Management of claims. Upon receipt of claim, create letters to attorneys and claimants acknowledging receipt. When requested, forward documentation to involved parties.
Assist with Risk Management by filing all Motor Vehicle Accident Reports and Incident Reports.
Prepare correspondence to Bureau of Risk Management regarding deletions and additions to college's fleet policy.
Compose and type correspondence including that of a confidential nature, and maintain confidential correspondence files and other records for department personnel.
Manage inventory of office supplies and conduct purchasing for office. Processes requisitions for approval. Files copies of purchase orders, matches invoices to purchase orders for approval.
Assist the Bursar's Office with entry of payments and verify bank deposits during peak periods. Return phone calls during heavy call volume periods.
Report and record the expenses for employee cell phone reimbursements by extracting data from a payroll report for conversion to a file that can be uploaded into Banner Finance.
Prepare documentation for EFA drawdown submissions and related journal entries.
Analyze the EFA trustee statements for the bond issues. Prepare journal entries to update the general ledger for the monthly activity, and reconcile the general ledger to the statements.
Post return check to student accounts in Banner Accounts Receivable. Keep a spreadsheet on all returns and reconcile in conjunction with bank reconciliation.
Serve as backup person to bill State for the total College match portion of Federal FICA/MQFE taxes on a biweekly basis.
Will be required to learn to utilize the SAGE system used by Business Services to manage capital assets.
Compiles and analyzes statistical, financial, and other data in the areas of capital assets and student accounts, or other areas as needed by the Assistant Director of Capital Accounting and Risk Management.
Prepares clear, technically sound, accurate, and informative reports containing findings, conclusions, and recommendations in the areas of capital assets and student accounts, or other areas as needed by the Assistant Director of Capital Accounting and Risk Management.
Will be expected to work independently to support the Assistant Director of Capital Accounting and Risk Management in the maintenance of all records for College’s capital fixed assets, which may include work in areas of: Review all capital purchases to determine which need to be capitalized monthly. Determine which asset category to record. Reconcile capital fixed assets to the general ledger quarterly. Depreciate capital fixed assets monthly. Add equipment fixed assets to the SAGE system as needed.
Serve as backup person to record internal charge backs for unit services.
Serve as backup person to review and prove the daily deposit.
Serve as backup person to record the weekly food service cash reports and board sales.
Access information using Banner as required.
Perform other duties as deemed necessary.
Graduation from an accredited college with a Bachelor’s degree.
NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis.
Minimum of two years experience in accounting field
