The Immigration Coordinator ("IC") will be the central point of contact between clients and Gibney. The IC is available for Human Resources to contact in need of immigration assistance, as well as for employees to contact when there is an Immigration need. IC is not authorized to make determinations/ assessments; however it is the responsibility of the IC to convey all matters to the attorneys or other professionals at Gibney in a timely fashion and provide further support as required. The following are duties required by the IC:
Manage communications between client and the firm. This includes but is not limited to:
Dealing face-to-face with clients to handle relationship issues
Setting up conference calls/meetings
Routine meetings with HR, managers, employees, contractors
Monitoring HR emails
Answering general questions from HR
Communicating information to HR or others as information and news is released from Gibney alerts or other
Handle onsite government inspections.
Liaise with HR, contractors and business on hiring needs and requirements and work with attorneys to communicate appropriate strategies.
Email questionnaires and initiate visa matters with foreign national employees (or proposed employees) and handle all communication prior to intake by Gibney team
Timely coordinate with Gibney on any RFEs issued to begin appropriate documentation collection, understanding strategy and beginning collection on standardized documentation required on all RFE responses, including obtaining expert opinions, evaluations, HR requirements letters, similar industry job ads, and or other materials requires to prepare and submit comprehensive RFE respons
Review Business Visitors, and work with the Gibney team to determine whether a business visit is appropriate on a business visa, or whether work visa is appropriate.
Arrange meetings with new employees to discuss the Social Security Number application procedures, EADs for spouses, Change of Address Forms, ITINS if necessary, and Drivers’ License procedures
Assist with the completion or revalidation of Form I-9 on an as needed basis when queries are raised.
Advise on green card policies to inquiring employees. Update HR on employees who have inquired about Green Card sponsorship, and provide immigration background information for consideration of green card approval assessment.
Review the drafted monthly reports and provide updates for finalization of reports.
Identify and maintain a log of all student visa holders requiring an H-1B visa in the next cap year.
If approved to assist a spouse with an EAD application, forward the relevant forms to employee for the spouse’s completion
Respond to all telephone calls and emails related to immigration and/or direct employees to relevant department(s) to address their inquiries.
From time-to-time prepare certain aspects of visa petitions under attorney supervision.
If contacted by an employee regarding travel overseas and how to obtain a US visa, review the local US Embassy visa procedure/link and share with general checklist and otherwise assist with DS160 electronic visa application process.
Assist with other administrative tasks such as billing when required.
This position requires a 4-year college degree and 1+ year of immigration experience. Candidates must have basic knowledge of business immigration and be comfortable interfacing with HR and employees of client. Experience with financial services companies preferred.
The Immigration Coordinator role will be based in Gibney’s midtown NYC office with approximately 60% travel to client sites in Morris County, NJ and Wilmington, DE. Amtrak travel expenses for client site visits will be fully paid for by Gibney.
