The George Mason University Antonin Scalia Law School seeks an Event Coordinator for the Law and Economics Center on the Arlington campus. The primary responsibility of this position will be working with and supporting the LEC's Associate Director of Events and Communication in handling logistical elements for a large number of education programs. Candidates must be able to execute professional and polished events with excellence while displaying an appreciation for the well-educated audiences the organization serves.
The Law and Economics Center is a national center for research and education that focuses on the timely and relevant economic analysis of legal and public policy issues. To fulfill its education mission, the LEC provides dynamic training programs in law and economics on a national basis to sophisticated audiences including judges, attorneys general, congressional staff and academics.
Event Logistics and Support: Coordinates the logistical elements of all LEC and assigned law school events from inception to completion to meet expectations of production quality. Responsibilities include but are not limited to onsite coordination of events, oversight of ordering and maintenance of event supplies and materials, and oversight of interns in production of all those materials (e.g., name tags, name tents, and promotional items), arranging transportation, selecting event menus, event set-up, verifying calendar(s) are correct, and allocating and oversight of junior staff at events.
Contracts: With Associate Director, identifies and negotiates contracts for LEC and law school events with vendors and venues and acts as the primary and coordinating point of contact for these relationships in office and at offsite locations. Responsible for the vetting of vendors.
Budgeting: Reviews and tracks event expenses, oversees execution and filing of vendor and venue contracts, supervises the processing of invoices, bills, and reimbursements associated with those contracts.
Technology: Responsible for the integrity of database information identified, compiled and entered by event staff in coordination with LEC and law school divisions for event and management use.
Communication: Assists in communicating with internal and external audiences (e.g., vendors and participants) via email and phone, assists with general office tasks as needed.
Set-Up: Coordinates set up and break down of meeting space as well as on-site program execution.
Other duties as assigned.
The successful candidate will have the following qualifications and skills:
BA degree and demonstrated relevant work experience in events department or hospitality industry.
Strong organizational skills, ability to respond to tasks with a sense of urgency and to manage multiple deadlines effectively. Highly self-motivated, detail-oriented and accuracy driven.
Thorough understanding and experience in event venue and vendor contracts negotiation.
Professional demeanor and customer service orientation for both colleagues and guests.
Strong communication skills in English, both written and spoken.
Strong technology skills, including but not limited to Microsoft Office (Outlook, Word, Excel, and PowerPoint) and database software (experience in Cvent, a plus) is required.
A valid driver's license, ability to travel independently, and ability to work a flexible schedule including early mornings, evenings, and weekends.
Knowledge of and commitment to LEC's mission, vision, and values.
