FLEX by Fenwick is a service provided by the law firm Fenwick & West LLP that offers in-house legal support to fast-growing high technology companies. We have an opening in our San Francisco office for an Operations Coordinator who will provide general coordination and administrative support to our FLEX team including client development, attorney recruiting and marketing/social media.
Input and maintain data integrity of client and attorney information in database systems; run reports as needed.
Coordinate meeting schedules and prepare all required resources.
Assist with administrative needs of the team.
Respond rapidly and reliably to client and attorney inquiries and schedule follow-up meetings as necessary.
Serve as liaison to relevant internal departments (e.g. Marketing, Facilities, etc.) as requested.
Support Client Development team.
Schedule pitch calls, client calls and follow up meetings.
Assist in researching information for prospective client meetings and coordinating pitch materials.
Assist in onboarding attorneys for client engagements and processing terminations.
Customize templates as needed for client engagements.
Prepare drafts of engagement paperwork as requested by Client Development team.
Contact attorneys and schedule phone screens and internal interviews on an as-needed basis.
Collect and file employment/HR and orientation-related documents.
Assist in hiring diligence process for incoming attorneys including conducting background and reference checks.
Contact attorneys regarding upcoming training and social events provided by FLEX, Fenwick, and outside vendors (such as PLI).
Event planning, support and maintain social media platforms including researching and curating content.
Research and draft initial content for marketing initiatives.
Serve as liaison to Marketing Department to assist with the preparation or re-printing of marketing materials.
Desired Skills and Qualifications:
Proficiency in MS Excel;
Able to handle multiple projects and tasks simultaneously;
Exceptional organizational skills;
Effective self-management and ability to make sound, independent decisions;
Ability to write, edit and proofread with a high degree of accuracy and attention to detail;
Ability to learn new systems and procedures quickly; and
Remain productive, efficient, conscientious and collaborative under pressure with tight deadlines.
Reporting to the General Manager of FLEX, the ideal candidate will have at least 2 years of relevant administrative work experience, preferably in a fast-growing professional services, corporate or legal organization.
