U-M Tech Transfer enhances research discoveries to encourage licensing and broad deployment with existing businesses and newly formed U-M startups. The IP & Docketing Specialist assists with activities related to communications with patent law firms, docketing intellectual property related deadlines & activity, and monitoring patent portfolio data. Coordinate with Tech Transfer staff on matters related to patent data. Considerable data entry responsibilities relating to intellectual property data and deadlines.
Lend support to the overall intellectual property functions of OTT and maintain docketing system for patent-related matters – 65%
Data entry for patent records, annuity matters and related events
Monitor and process daily patent correspondence to capture new applications, status updates, patent deadlines, prosecution decisions, and instructions within OTT’s database
Docket administration for events and deadlines associated with US and foreign filings
Ensure timely and accurate entry of patent data within OTT’s database systems
Take part in activities with contracted patent law firms – 25%
Create required patent records and patent budgets based on expenditure approval correspondence from licensing staff and Tech Transfer management
Processing of documents & communication related to patent application formal papers, such as assignments, declarations, and powers of attorney
Maintain a basic understanding of federal and non-federal compliance obligations to assist Compliance Specialist with patent related compliance obligations
Other administrative duties, as assigned – 10%
Assist with patent annuity activities, as assigned by Manager
Assist with patent data requests or reports, as needed and assigned by Manager
Associate degree in a relevant field
General knowledge of U.S and foreign patent systems
Demonstratable experience with data entry/processing and complex data management systems
Meticulous attention to detail and accuracy
Strong ability to balance and prioritize workload
Experience processing information through the application of complex rules
Ability to work both independently and within a team
Excellent customer service and organization skills
Excitement to work in a fast-paced, yet fun, and collegial environment
Excellent verbal and written communication skills
Bachelor degree in a relevant field or an equivalent combination of education and experience
Experience in a university tech transfer office or docketing department of patent law firm or corporation
Understanding of U.S. and foreign patent procedures, events and deadlines
General understanding of tech transfer and compliance obligations
Experience with complex databases, workflow-based tools, and extracting information from a complex database
