This position is responsible for the support of the Industry Engagement and Commercial Ventures group (IECV) and is responsible for development and management of daily operational workflow processes and functions.Â This position also works closely with the Office of Sponsored Projects (OSP) as many operations functions cross between teams.Â The Administrative Manager manages and/or completes projects as assigned by the Head of Industry Engagement Commercial Ventures, including complex projects requiring strong analytical, technical, and organizational skills.
Working with Brown patent attorneys and Brownâ™s Office of General Counsel, this position ensures the protection of Brown Intellectual Property assets through the management of docketing of worldwide patent office deadlines and requirements and verifying payments of annuities required to maintain patents and federal compliance with Bayh-Dole regulations.Â This includes managing required iEdison reporting related to the intellectual property portfolio developed by Brown inventors through support from the grant funding received annually at Brown University.
This position reports to the head of Industry Engagement Commercial Ventures (IECV).
Government Compliance Management
Maintains up to date knowledge of the latest Bayh-Dole and NIH requirements relating to invention reporting.Â
Develops reporting compliance structure and processes using systems, staff (if provided) and other resources to establish and maintain procedures for meeting all federal deadlines and requirements using iEdison and other reporting methods.
Develops and maintains up to date reports for IECV Senior Management on compliance statistics.
Manages disclosure, application, and utilization reporting to the NIH and other agencies primarily through the iEdison government reporting system to ensure compliance with Bayh-Dole. Manages reporting separately for government agencies that do not use the iEdison system.Â
Maintains relationships and communications with Inteum and CPI software development teams to continually work towards improving private and federal funding data collection to meet funding obligations.
Â Patent Prosecution Operations
Maintains an understanding of procedures and regulations of the patent prosecution process relating to intellectual property.
Works closely with Brown patent attorneys to acquire all documents necessary for patent prosecution and to manage the recording of necessary information, including costs and expenses in the office database.
Keeps up to date on rules/requirements and the law as it applies to contract execution and other aspects of agreement management.
Â Manages the team access to the Inteum and CPA Global databases which includes creating and ensuring compliance with checks and balances for data entry with consistency and reporting, and maintaining accurate databases.
Manages the disclosure process and the Inteum Inventor Portal.
Develops and manages reporting tools for inventor communications demonstrating IECV's commitment to efficiency, transparency and excellent service.
Manages correspondence flow ensuring all deadlines and documents are identified, addressed, logged and stored.
Manages the review of law firm invoices for reasonableness and adherence to agreed-upon fees.
Manages the Brown Inteum database system.Â
Recommends and manages all upgrades and determines feature implementation, project timelines, acceptance testing, and training while assuring continued protection of Brown intellectual property assets.Â
Designs and coordinates projects to integrate software systems to maximize system potential, operations workflow, and data accuracy.
Develops and maintains strong relationships with IT & development resources to accomplish tasks and mitigate problems.
Establishes and documents procedures and controls to ensure that data entered by the IECV staff into the database is accurate and strives for 100% accuracy at all times.Â
Identifies areas of concern for potential process failure and works to fill gaps to maximize the protection of Brown's intellectual property assets.
Audits the Inteum database for accuracy on a regular basis.
Performs all billing and collections functions for the department, billing technology licensees as appropriate based on the active license agreements with these companies.
Reads and interprets complicated license agreements in order to determine financial milestones and payment terms. Uses this data to correctly build license agreements into the departmental information system.
Develop efficient systems for invoicing and managing receivables in collaboration with AFA. Is also able to proficiently use the system to create royalty report reminders and various management reports.
Ensure Tech Transfer financial transactions are appropriately documented in the Inteum system.Â
Collaborates with AFA to ensure financial transactions, in particular, the distribution of license income is done in accordance with Brownâ™s IP Policy.Â
Communicates distribution calculations directly to Brown faculty and administrators to ensure accuracy and compliance with the Brown IP Policy.
Assists in the analysis of financial data and extracts and defines relevant information; interprets data for the purpose of determining past financial performance and/or to project a financial probability.
Performs statistical, cost, and financial analysis of data reported in the various financial systems.
Develops financial reports for forecasting, trending, and results analysis.
Interprets financial transactions and events for users who must make economic or business decisions.
Applies working knowledge of applicable laws and regulations; verifies documents for completeness and compliance with government and private agencies.
Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
Responds to inquiries. Checks accounting transactions to locate and resolve discrepancies.
Education and Experience

Bachelorâ™s degree required, preferably in business, finance, or other related concentration
Strong legal matter management knowledge is required, as would be obtained through a minimum of five (5) years of related experience in a corporation, law firm or university setting.Â Work experience within a technology licensing office at a major university preferred.Â Working experience with information systems such as Inteum and CPA Global, and financial analyses and contract management is required.
