Prestigious 250-person law firm headquartered in Charlotte needs an experienced Docketing Specialist for a non-exempt position. This position reports to the Director of Practice Support and is responsible for providing comprehensive calendaring services to the firm. Review documents and correspondence and accurately calendar deadlines into a centralized docketing system
Continually process documents and notices transmitted into the “Docketing Master” e-mail folder
Review, research and interpret civil rules of procedure in State and Federal courts
Provide proactive support to attorneys and staff to ensure all docketing deadlines are correct and integrated into Outlook calendars
Create and update daily and/or weekly reports to attorneys and staff regarding deadlines, court appearances, etc.; ensure all reports are stored properly
Communicate court filing rules to attorneys, LPAs and paralegals
Assist and provide proactive support to attorneys and staff regarding changes in court rules in various jurisdictions
Maintain and proactively improve processes to ensure accurate entry of calendar and docket dates
Possess analytical skills to research software options in the market for continuous improvement in the process
Outstanding customer service skills required
KNOWLEDGE, SKILLS AND ABILITIES:
2-3 years of law firm docketing experience; Bachelor’s Degree and/or Paralegal certification preferable
Reliable, detail-oriented and able to learn new technology quickly
Strong analytical, organizational, communication, time management and technical skills
Highly motivated with strong attention to detail; able to exercise independent and professional judgment
Friendly personality and good attitude; commitment to provide a high level of customer service. Works well in team environment; communicates well, both oral and written
Ability to accept direction and constructive criticism; ability to own problems and resolve issues
Diplomacy in handling confidential information
Working knowledge of e-filing
Ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision; ability to draft emails and forms using proper grammar, punctuation and spelling
Work occasionally requires a high level of mental effort and strain when performing a high volume of tasks and performing other essential duties
Work occasionally requires more that 37.5 or 40 hours per week to perform essential duties of position; flexibility to work overtime on occasion
Ability to manage confidential information, both within the firm and outside the firm. Must follow the firm’s confidentiality policy
Ability to learn and develop basic skills with firm telephone system, email, document management system and other firm-related software as necessary. Competency with MS Office suite and common legal software programs
