As part of UA, the Estate and Gift Planning (Manager) serves as an integral member of the Gift Planning team. The Office of Gift Planning strengthens Bucknell University by increasing the value, size, and utility of gifts contributed to the University. These goals are achieved by working with donors and their advisors to plan and arrange bequest, life income, and other deferred and complex gifts; by conducting strategy meetings with development staff for deferred gift visits and proposals; by advising and counseling University staff on legal issues related to charitable contributions and plans; by managing, in conjunction with Bucknell's finance department, all life income and trust asset investments under control of the University. Reporting directly to the Director of Estate, Trust and Gift Planning and working closely with internal and external constituents, the Manager is responsible for managing the settlement of estate gifts to Bucknell and ensuring the smooth operation of the office.
The Estate and Gift Planning Manager is responsible for the settlement process of estate gifts to Bucknell and conducts all tasks necessary to maintain the smooth operation of the office and accurate documentation of gifts. Estate Settlement: * Works closely with Bucknell's finance office and the general counsel's office to ensure proper language interpretation, designation, accounting requirements, etc. are met with regard to estate settlement. *Completes all work necessary for estate settlement, including but not limited to correspondence with estate executors and attorneys; review of Notices of Probate, Will or Trust documents, accountings, and Receipt, Release and Indemnification documents; recording bequest pledges or gifts.
Planned Gift Administration: * Reviews all bequest intentions, charitable IRAs and insurance gifts to ensure appropriate documentation for UA recording. * Possessing an advanced understanding of all areas of CRM that impact gift planning, serves as an active participant in CRM policy decisions *Manages communications with donors and brokers concerning QCDs and corresponding special receipting requirements as well as outright gifts of securities as needed. * Obtains and reviews documentation related to revocable/irrevocable trusts held outside of Bucknell and records appropriately. Works with outside trust administrators to obtain any required annual valuations. *Serves as a resource for fundraisers and existing donors regarding life income information such as illustrations, tax forms, current rates, etc. *Serves as a contact for Bucknell's investment manager/administrator of planned gift assets regarding data entry and maintenance.
Office Operations: * Manages office workflow, ensuring mailings, responses, and requests for information are expeditiously processed, and completes all clerical duties for smooth operation of gift planning office. * Serves as an initial point of contact for gift planning prospects and existing donors as a cordial, well-informed representative of the University. * Design and maintain a record management system for the gift planning department, including yearly benchmarking statistics, fundraising results reports, prospect assignment lists, legacy society membership lists, , data entry and processing of all planned gifts division-wide, etc. * Supports all gift planning team members in both administrative duties and fundraising, providing solicitation materials, travel assistance, coordinating mailings, etc. * Responsible for drafting the annual budget request for the director's review; monitors fiscal year office budget expenditures; ensures correct coding of gift planning trip receipts and budget items prior to entry into Bucknell's expense reporting system.
Training and Events: * Manages webinar series and seminars; assists in training gift officers on planned giving. * Coordinates all aspects of gift planning events, including gift planning flagship events during Homecoming and Scholarship Day.
Other: * Performs other duties as assigned.
* Associates degree plus 3 years of experience in law, finance or a similar area, or an equivalent combination of education and experience * One or more years of experience in office or project management * Demonstrates attention to detail, accuracy, diplomacy, tact, discretion, and confidentiality * Proven written and oral communication skills with the ability to convey complicated concepts simply * Computer literacy, including proficiency with spreadsheets and data entry; numeric accuracy required in the production of gift and reporting documentation * A demonstrated ability to work with highly technical material * A willingness to remain current with changing legal and tax arenas affecting planned giving * An ability to work independently
Other Requirements: This position requires occasional evening and weekend work to support UA's events including blocks of time for major events such as Family Weekend, Reunion, and Homecoming, and other event support as required. Staff should mark their calendars for major events and events in their department. Exceptions require supervisory approval.
* Bachelor's degree * Work experience as a paralegal or trust officer * Prior experience in higher education, preferably within a development or gift planning office * Experience in constituent database usage, planned giving administrator platforms, and office reporting tools
