The Hartford office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Outside Counsel Guidelines Coordinator to work in our Information Governance & Business Intake Department.
Under the direction of the Director of Information Governance and Business Intake (“the Director”), the Outside Counsel Guidelines Coordinator is primarily responsible for coordinating firm-wide activities related to Client Outside Counsel Guidelines and other client commitments. This position will act as the subject matter expert related to OCGs and ensure the firms central repository, presently Intapp Terms, is complete and up to date.
Duties include, but are not limited to:
Assist Director of Information Governance & Business Intake with circulating authoritative OCGs to matter teams and affected administrative teams
Responsible for OCG lifecycle management and firm compliance with OCG Policy
Work closely with client intake team, information technology team, and marketing team to ensure all OCGs are managed centrally
Add, track and maintain engagement letters and client issued guidelines in centralized repository
Perform review of client-issued guidelines, identify and tag relevant provisions for firm subject matter experts and General Counsel using software solution
Coordinate with billing attorney to track client responses and authoritative copy of OCGs
Ensure authoritative copy of OCGs are captured in centralized repository and periodic reminders are sent to matter teams regarding compliance with OCGs
Administer OCG software solution; maintain and update configurations as needed
Qualified candidates will have the following:
Minimum of 3-5 years of experience
Prior conflicts of interest experience in a law firm preferred
Intapp Suite including Intapp Terms a plus
Bachelor’s degree or equivalent combination of education and/or experience. JD a plus but not required.
Excellent written communication skills and the ability to draft and execute complex communications including policies and procedures, instructional documents
Superior interpersonal skills, including strong oral communication skills and the ability to communicate detailed legal information to personnel at all levels
Strong organizational skills and attention to detail
Ability to manage multiple priorities and adjust to changing priorities in a professional manner
Strong research skills, including via internet, databases, and other sources
Strong service orientation and an ability to establish and maintain effective working relationships with all levels of firm personnel
