The IG Compliance Analyst will assist in supporting the Firm’s information governance and records compliance programs. The Analyst will report to the IG Compliance Supervisor (“Supervisor”) and help with the daily management of open projects, with a primary focus on the retention and disposition of inactive, or dormant media-neutral Firm content, and business records (paper and electronic) maintained on-site and in commercial off-site storage facilities (paper), and in Firm systems, or with third-party content storage providers (electronic). Responsibilities include, but are not limited to:
- Assist the Supervisor in the implementation of the Firm’s retention policy and retention schedule for both Firm business and client-related information
- Help ensure records are correctly classified and assigned the correct retention period within all applicable Firm systems
- Support the execution of the Firm’s disposition program:
- Perform database searches, audits, and record reviews to ensure records are stored and destroyed according to retention schedules
- Secure client awareness and consent for disposition initiatives
- Coordinate and documents approval for destruction activities
- Assist the IG Compliance Supervisor in the management and coordination of retention intern activities
- Participate in the execution of disposition audits as necessary
- Develop disposition reports for the Firm’s management as scheduled/requested
- Under the direction of the relevant billing or responsible attorney or their designee, Prepare notifications (public or otherwise), and correspondence to clients, relative to retention/disposition activity of media-neutral Firm business records and content (paper and electronic)
- Prepare and properly retain accurate documentation relative to retention and disposition activity of media-neutral Firm business records and content (paper and electronic), including disposition eligibility reports; memoranda to decision-making personnel (i.e. billing attorneys, administrative managers and responsible IT system administrators; and executed disposition records)
- Coordinate with contracted vendor on the secure disposition
- Serve as one of the principal resources to answer questions regarding the Firm’s IG Compliance program, with a focus on retention and disposition of Firm records
- Development of standard operating procedures and processes in support of Firm policies
- Conduct analysis and data remediation tasks specific to media-neutral content (paper and electronic) to maintain quality and accuracy controls, integrity and data authentication as defined by the Firm’s Records Policy and standard operating procedures (SOPs)
- Coordinate and collaborate with Records and Firm personnel to ensure that all media-neutral Firm business records and content (paper and electronic) designated for retention to off-site storage is properly prepared according to established policy and procedures
- Coordinate and collaborate with Records and Firm personnel to ensure that all media-neutral Firm business records and content (paper and electronic) designated for retention and preservation under the provisions of issued and lifted legal holds are conducted according to established policy and procedure, including relevant recordkeeping and data entry in the Firm’s information governance system (RMS)
- Contribute to training initiatives and awareness campaigns to promote professional obligations and best practices specific to proper retention and disposition of media-neutral Firm content (paper and electronic)
- Compile accurate and complete Records Management System (RMS) reports based on requested criteria
- Work with IT and other support teams to ensure proper resources for ongoing support of program (e.g. designing reports, etc.)
- Maintain, track, and report on key operating metrics (including vendor service activity patterns, costs, trends, etc.) for budget and resource planning purposes
- Support Records Retention Supervisor in preparing reports for Firm management as needed
