The Legal Support Specialist provides legal administrative assistant support to attorneys and paralegals in the Office of the General Counsel.
Reporting to the Legal Operations Manager, the Legal Support Specialist receives general instructions from their supervisor, attorneys, and paralegals. The Legal Support Specialist exercises expert judgment and applies skills to fully analyze issues and problems. This position gathers data and information for projects of moderate scope, maintains calendars and arranges travel for assigned attorneys while ensuring no scheduling conflicts. They will also draft and edit correspondence, reports, presentations, forms and other legal documents in transactional and trust and estate work. Assignments may include some litigation work so experience in litigation is a plus. Create, edit, proofread and manage notices, affidavits, contracts, correspondence, claims, complaints, reports and presentations using thorough knowledge of legal terminology, practices, forms and the legal system. Serves as a knowledge manager for data, correspondence, matter files, reports, and other documentation associated with legal matters handled by attorneys and paralegals. Works on moderately complex legal projects of diverse scope.
By practicing OGC's established Values for Principles of Community, the Legal Support Specialist contributes to building and maintaining a collaborative, supportive, respectful workplace that is committed to fairness and diversity.
Maintains processes for tracking progress in transactional and/or litigation matters.
Manages complex internal scheduling for executives, management and OGC attorneys and staff via expertise in Outlook. Ensures no scheduling conflicts and schedules and arranges meetings, conferences, and travel for attorneys and paralegals.
Works in Microsoft suite and proprietary UC systems including document management system and conflict management system. Creates, tracks and produces matter management reports for attorneys.
Creates, edits, proofreads and transmits correspondence, retention letters.
Generates reports, agreements, presentations, spreadsheets, and proposals for review by attorneys and paralegals.
Creates and makes decisions regarding process, format and delivery of agendas, PowerPoint presentations and legal documents for high level meetings, conferences and events. Utilizes SmartSheet and other tools for planning and event/information management.
Processes attorney reimbursement requests.
Conducts legal research of moderate scope, to include fact gathering and retrieval of information. Assembles analytical and factual data on assigned problems and legal issues.
Gathers, filters, synthesizes large quantities of client, matter and other information for action by attorneys and paralegals according to established deadlines, policies and procedures. Prepares reports and / or analysis summarizing information on the assigned issues. Compiles data, statistics and other information for meetings and presentations at attorney direction.
Drafts, edits, modifies and files documents/pleadings and proofs of service in State and Federal Court.
Active contributing member to the Legal Support Specialist team in weekly meetings and team initiatives.
Regularly attends systemwide, departmental, and practice group meetings.
Actively participates in UC Legal-wide Equity and Justice initiatives, strategic goal committees, and other offerings for professional development.
Contacts internal staff at all organizational levels to gather information.
Actively participates in implementation of new office-wide technology to support needs of the practice group and department; serves in test groups to pilot new systems.
Works with manager and other Legal Support Specialists to train new team members and work collaboratively.
Thorough knowledge of legal terminology.
Advanced knowledge of common computer applications and calendaring and scheduling.
Strong communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
Demonstrated knowledge of electronic document management systems.
Strong skills to research and problem-solve to obtain information or data from various sources and materials and organize with excellent attention to detail into a comprehensive package.
Ability to multi-task with demanding timeframes.
Ability to use discretion and maintain all confidentiality.
Typing at least 50 WPM
Knowledge of UC processes, protocols and procedures.
Associate Degree or equivalent training/work experience and five or more years of progressively responsible journey-level legal administrative support experience within a legal department or law firm; or an equivalent combination of education and experience.
Due to COVID-19 restrictions, this position currently works remotely but is expected to be required to work in the Oakland office once onsite operations resume.
