Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.
AA&D Resources AA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.
The Trust and Estates Administrator will work closely with the Director, Trusts and Estates, to manage and secure Harvard's interests in estates and outside-managed trusts, and provide support for transactional and administrative matters.
Assist in-house attorney with various legal matters pertaining to testamentary gifts and outside-managed trusts of which Harvard is a beneficiary
Manage intake of pecuniary bequests and testamentary gifts of retirement assets and insurance proceeds
Coordinate execution and delivery of legal documentation relating to estates and trusts
Responsible for ongoing management of electronic databases and filing systems relating to estate and trust matters
Review probate inventories and fiduciary accountings relating to estates and outside-managed trusts of which Harvard is a beneficiary, in consultation with in-house attorney as appropriate
Prepare initial drafts of correspondence and legal documents as needed, for review by in-house attorney
Communicate directly with fiduciaries and other external parties as needed
Conduct research and generate reports from internal electronic databases in connection with estates and outside-managed trusts

This position will be based on our campus in Cambridge, MA. However, due to the COVID-19 pandemic this position will be remote until further notice.

2+ years prior relevant experience handling trust and estate administration matters in a professional organization (in-house, trust company, law firm, or family office preferred)
Knowledge of probate and trust and estate administration processes
Proficient with Microsoft Outlook, Word, Excel, and PowerPoint
College degree and/or paralegal certification preferred
Notary Public or willingness to become licensed
Strong organizational and communication skills, attention to detail, and high regard for confidentiality
Demonstrate sensitivity and discretion in direct communications with fiduciaries and other external parties
Experience and ability to prioritize and manage diverse responsibilities
Self-motivation and ability to follow through on projects independently
Ability to quickly develop functional knowledge of new software platforms
