THE OPPORTUNITY:
As a Corporate and Real Estate Legal Secretary, you will provide a variety of secretarial and administrative duties for assigned attorneys. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
THE DAY-TO-DAY:
On any given day, you will be working with firm partners and business colleagues on a variety of requests and projects. You will:
Draft addendums to real estate contracts.
Schedule and coordinate real estate closings with attorneys, lenders and title company and brokers.
Order and review title / survey and underline title documents.
Prepare escrow instructions.
Create and maintain closing files / organize closing binders.
Coordinate filings for corporate documents with clients.
Proofread documents and check for appropriate formatting, spelling and grammar.
Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.
Sort, date and read incoming mail. Prepare documents and packages for mail, messenger and overnight delivery.
Complete client / matter forms. Request conflicts of interest checks. Open new files.
Prepare expense reports and process client billings.
Enter attorney time, send time entry reminders and track entries.
Schedule appointments and make arrangements for meetings, conferences and travel.
Provide overflow assistance and secretarial support for Secretarial Team Members’ attorneys and paralegals.
Assist with other duties and projects as assigned.
YOU HAVE:
Minimum 5 years of real estate and/or corporate secretarial experience in a legal environment
Strong proofreading skills, attention to detail and solid grammar/spelling skills
High degree of proficiency with Microsoft programs (Word, Outlook, Excel)
Familiarity with Carpe Diem, Elite, IManage, Chrome River, Forte or similar technology
The ability to organize, prioritize and meet the demands off multiple attorney assignments
Flexibility to adjust hours and to work additional hours as necessary to meet operating and business needs
