SUMMARY: Under the direct supervision of the Assistant Controller and according to established policies and procedures, the Accounting Manager performs a variety of administrative and accounting duties in order to maintain accurate accounting, vendor, voucher, and disbursement records and reports. Assists in preparation of financial analysis, budgets and reports. Observes confidentiality of client and law office matters.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Oversees and directs general accounting functions for the accounting department including procedural aspects of accounts payable, client trust funds and all disbursements

2. Establishes and maintains appropriate internal controls to safeguard assets, to ensure proper accounting of transactions and to promote operational efficiency within the accounting department and throughout the law firm

3. Supervises AP Supervisor and all related disbursement work

4. Thorough knowledge of expense coding and classification within the accounting system

5. Thorough understanding of Chrome River (expense report and invoice system) including an ability to make changes to various rules and procedures within

6. Responsible for reviewing all check and electronic disbursements and either signing those disbursements or authorizing application of system generated signature

7. Setting up and maintaining on-line access for numerous banks

8. Reconciles various GL accounts on a monthly basis including but not limited to Indiana Secretary of State deposit account, personal account clearing account, partner misc receivable, and employee misc receivable accounts (11324, 14015, 14020 and others as necessary)

9. Reviews monthly credit card reconciliation, prepaid insurance account, WIPO deposit account, USPTO reconciliations

10. Coordinates decisions regarding firm credit cards

11. Responsible for overseeing insurance renewal applications for the firm’s general insurance renewal including but not limited to general liability, fiduciary, crime, travel, kidnap & ransom, personal umbrella, professional liability, aviation, auto, etc.

12. Prepare monthly contingency spend activity report. Calculate and prepare payments due to independent contractors. Prepare detailed activity schedules as needed related to separate trust accounts

13. Responsible for monitoring cash flow

14. Assists Chief Financial Officer, Controller, and Management Committee in financial management and analysis as required

15. Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

1. Knowledge of accounting and financial management principles including disbursements and accounts payable in order to manage resources and provide reports at a level normally acquired through a Bachelor’s degree in accounting, finance or equivalent; CPA or CPA candidate preferred.

2. Five to seven years of progressively responsible public accounting or similar work experience.

3. Ability to organize and prioritize numerous tasks and complete them under time constraints.

4. Interpersonal skills necessary in order to communicate with a diverse group of attorneys and staff in person, by e-mail and telephone to provide information with ordinary courtesy and tact.

5. Analytical skills necessary in order to conduct complex and detailed analysis on various accounting and tax problems.
