This professional position reports to the Business Manager within OTD and performs a broad range of business and administrative support, and contract support to ensure the ongoing and efficient operation of OTD and in furtherance of the institute's mission. Work on special projects as needed.
Interacts with the Salk faculty, researchers, administration and staff, as well as third parties that work with the Institute, requiring strong communication skills, tact, discretion, good judgment, and attention to detail, consistent with the values and standards of professionalism of OTD. Demonstrates independent and effective decision-making, analytical and problem-solving skills and the ability to manage multiple, complex and concurrent projects or tasks, re-prioritizing as needed. Meets deadlines and works well under pressure. Recognizes the necessity for, and effectively preserves and maintains, confidential communications and legally privileged information. Develops and maintains good working relationships. Able to work both independently and collaboratively; takes initiative as well as seeks and accepts direction as needed. The successful candidate must be able to recognize issues, propose possible resolutions, follow-up, and solve problems, positively and professionally.
Business Support: This position is responsible for processing incoming receivables with coding for Finance Department. Responsibilities include full cycle knowledge of the department's business processes. Performs general office duties, including data entry, reception, scheduling, ordering supplies, printing, copying, office & equipment maintenance. Incumbent is expected to exercise judgment in accordance with well-established policies, procedures, and techniques.
Administrative Support: This position is also responsible for providing administrative support and performs a variety of clerical and office management duties for the department and assists the OTD team members as needed. Functions include, but are not limited to, input and update of internal database (Wellspring) related to research disclosures, invention disclosures, patent applications and patents, confidentiality agreements, and other agreements; updating OTD website on Salk main site, according to established guidelines set by Salk; updates Linkedln and/or any other social media sites established. Follows established electronic filing systems, organizing documents and applications. Assists in obtaining signatures from Institute and third party clients on patent-related or other legal documents. Screens and directs telephone calls appropriately, using a high degree of diplomacy and judgment. Must perform duties with high quality customer service with courtesy and confidentiality. Schedules meetings and manages OTD calendar and events.
Material Transfer Agreement (MTA) Support: This position will provide contract support for handling of material transfer agreements (MTAs) as instructed and working in collaboration with the MTA Coordinator. Prepares form MTAs, and finalization of material transfer and related agreements (approximately 800 agreements processed per year in OTD). Assists in producing and providing agreements to academic labs, which includes overseeing proper completion of agreements, obtaining proper authorized signatures, and coordinating with related institutions. Assists with the coordination of MTAs for departing researchers who wish to transport biological materials. Assists with entering and updating MTAs and other related agreements in OTD's internal database (Wellspring).
ESSENTIAL FUNCTIONS
Billing Coordination and Administrative Support (55%)
Perform assigned tasks in areas related to business office support, including, but not limited to:
Process incoming receivables, coding, and reporting to the Finance
Answer vendor and customer questions related to invoices by phone or email in a timely fashion. Conduct related research if Communicate with vendors for inquiries and credits.
Answer main OTD phone line and Senior Director's phone as needed or upon
Maintain OTD conference room calendar and as needed, for 3 Directors: Senior Director, Director of Innovation Partnerships and Director of Licensing.
Distribute incoming mail and process outgoing mail on a daily
Order department office supplies and maintain service contracts for department office
Special projects and other duties may be assigned by the Senior Director, Business Operations Manager, or other department supervisors or managers.
Provide administrative assistance to any other OTD department supervisor or manager as requested or to any department staff as assigned.
Assist with scheduling and coordinating meetings, (including, but not limited to, industry partnering events, law firm presentations, and other annual or bi-annual presentations).

Create, update, and maintain Standard Operating Procedures in order to keep office procedures consistent.
Work with departments within Salk to update OTD page on Salk site; as well as maintain social media sites as established by the Senior Director and Directors of
Material Transfer Agreement Support (45%)
Perform assigned tasks in areas related to material transfer agreements, and other related agreements, which may include:
Prepare and provide template/form agreements, such as the Universal Biological Material Transfer Agreement to academic external academic organizations.
Assist the MTA Coordinator to obtain proper authorized
Interface with Salk faculty and staff, outside universities, institutions, companies and their staff in tracking and follow-up, processing, and finalizing MTAs.
Working with the MTA Coordinator, proactively assist Salk faculty and staff to use the online MTA module to request MTAs by providing assistance in the portability of scientific materials.
Maintain MTA database by inputting executed MTAs and other related agreements in a timely manner for general reference and compliance purposes.

EXPERIENCE
Required:
3+ years of clerical or administrative experience, including accounts payable and expense report production.
Thorough knowledge of office methods, procedures, and

3+ years of combined professional experience in relevant field(s).
EDUCATION
Required:
Associate Degree in Business, Management, Legal Studies, Communication or similar discipline, or paralegal certificate
3+ years of business experience, administrative experience, legal secretary experience or other similar support experience
Prior experience processing legal contracts or
Prior experience entering and maintaining database information accurately through self audit and reporting.
Preferred:
Bachelor's degree in Business, Management, Legal Studies, Communication, or similar
2+ years of experience in a law firm or corporate legal department under the supervision of an attorney.
