Summary: The ImDBA works as part of a team providing general administrative support to legal teams in preparation of immigration casework and filings. The ImDBA will be primarily responsible for various steps ensuring the case file is accurate, complete, and meets filing deadlines. Strong attention to detail and organization is required. The position can be located in Troy or Ann Arbor.
Essential Duties and Responsibilities:
Essential duties and responsibilities of staff designated as Immigration Database Administrators at the Firm include but are not limited to:
File Opening, Closing and Maintenance (Shared with Secretary):
Manage new case initiation processes, including document intakes from client email, from LawLogix/Tracker, and/or from Kiteworks.
Create electronic files for new cases.
Sort, download, assemble and organize all case materials in internal system databases.
Perform general electronic file up-keep of case information including uploading documents to internal systems.
Mail Processing:
Collect all team mail daily and accept all incoming courier packages.
Open, process, and route mail (per procedures).
Database Maintenance and Reporting:
Manage all data in immigration software systems.
Create and maintain immigration software system team user manual, and publish regular team best practice updates/instructions.
Monitor and oversee team data best practices compliance, and conduct paralegal training sessions, as needed.
Prepare internal and external periodic reports on upcoming status expirations, priority dates, etc.
Assist clients with portal login credentials and use.
Close files in immigration software systems.
Case Filing Support (shared with Paralegals):
Conduct final QC review of government filings, send final package to the copy center for shipment, update LawLogix/Tracker and Tasks, and track for receipts/approvals, as appropriate.
Enter basic information into immigration case management system.
Provide general administrative support to legal teams.
Monitoring and calendaring of deadlines.
Assist with projects as related to the practice including preparing forms.
Respond to routine queries from clients regarding questionnaires, documentation, etc. Escalate to Attorney and/or Paralegal as needed.
Ensure all documentation is collected, complete and returned timely. Follow-up with nonresponsive employees/managers; escalate as needed and close cases as appropriate.
Prepare shipping labels and letters and collate/assemble packages for employer/client copies, as needed.
Take monthly team meeting minutes and compile into notes and to-dos.
Qualifications, Skills and Abilities Required:
Immigration Database Administrators must:
Possess 1-3 years of US immigration knowledge.
Business Immigration Paralegal/Assistant experience, preferred.
Experience with immigration case management systems such as LawLogix, Tracker and/or INSZoom, preferred.
Proficient in Microsoft Office, Outlook, Excel, and PowerPoint.
Excellent analytical skills, attention to detail and quality standards.
Ability to Multi-task in a fast-paced environment with competing demands.
Ability to handle heavy workloads and high-volumes of case management.
Ability to prioritize workload and meet deadlines.
Strong organizational skills and proactive approach.
Positive attitude and desire to be an effective team member.
Working Conditions:
Normal law office environment with little exposure to noise, dust, temperature.
