Under general oversight, the Human Resources Specialist provides specialist-level HR support to the Washington office. Work as a team with other Washington and U.S. HR departmental personnel to achieve departmental goals and objectives and to balance workload.
Essential Functions:
Execution and oversight of all on-boarding processes for business services including HR processes, new hire orientation scheduling and execution, and tracking of information and paperwork. Partner with HR Coordinator on aspects of onboarding processes and act as a mentor and back-up on attorney hires
Administers short- and long-term disability and workers’ compensation programs for DC attorneys and business services including, calculating dates, preparing forms, answering questions from personnel and management, monitoring absences, maintaining the LOA and workers comp spreadsheets, and problem-solving with personnel and insurance providers including providing updates to Labor and US Benefits
Partners with HR Manager on projects and office programs such as, Staff Appreciation and Milestone, training initiatives, and well-being events and programming, vendor on-site visits/ demonstrations/ open enrollment meetings
Responsible for temporary staff arrival/departure notification emails to office; coordinate and conduct temp staff on-boarding orientation; maintain list of on-site temp staff, temp files and paperwork, and emergency contact folder
Primary person responsible for auditing business services workflows in the HRIS software for various employment transactions and related administrative processes
Assumes primary lead on firm’s participation in annual two regional salary surveys and maintains department compensation reports
Works with HR Manager on proposing, developing and implementing systems and procedures to support the efficient operation and productivity of the department
Acts as back-up to HR Coordinator on all separations, completing employment verification requests and in all other areas of responsibility
Oversite of year-end attendance reconciliation for business services working with HR Coordinator
Maintains professional skills and relationships with various professional regional and national associations such as SHRM an ALA
Additional duties and projects as requested or required
Maintains confidentiality on all sensitive issues
Qualifications:
Education/Training/Certifications
Bachelor’s degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
3 years+ of progressive HR experience in a professional services environment. Law firm experience highly preferred
Technical Skills
Proficiency in Microsoft Office products
Knowledge of software tools such as PeopleSoft and iManage a plus; experience with similar database tools for applicant tracking (iCIMS) HR information a plus; proficiency with MS Office Suite applications including Excel, Word and Outlook required
Proficiency in virtual platforms such as WebEx and Zoom

Mayer Brown currently follows a hybrid schedule, generally three (3) days in the office and two (2) days working from home each week.
