Position Summary
The selected individual will provide administrative assistance and legal office support to the Assistant Vice Chancellors and Associate General Counsels, Paralegals and Senior Business Manager of Office of the Vice Chancellor and General Counsel. A key job requirement is the support of the Senior Business Manager in accounting assistant duties and management of electronic invoices in the newly implemented OGC legal and e-billing management software system.
Job Description
Primary Duties & Responsibilities
Provides administrative assistance and legal office support to the attorneys and staff members of the Office of the General Counsel.
Support of the Senior Business Manager in overall management of electronic invoices in the newly implemented OGC legal and e-billing management software system. Facilitates the entire billing process with external law firms, ensuring compliance with OGC policies and expectations for external representation. Provides reporting on expenses and assists with regular reconciliation with Workday.
Provides accounting assistance for the office by processing accounting transaction requests with Shared Business Services, supplier invoice requests, internal service delivery requests; process expense reports, procurement card transactions in Workday, reviewing for university compliance. In coordination with external entities, University personnel and OGC staff, processes payments and maintain files for a wide variety of services, subscriptions, memberships and goods received.
In collaboration with OGC staff, ordesr supplies and equipment. Monitors incorrect orders and damaged goods from vendors, returning for merchandise credit or replacement merchandise.
Greets visitors and supports attorneys as needed in cooperation with other department assistants. Interacts with many university constituents, outside legal counsel, external vendors, and members of the general public.
Performs other duties as assigned, including providing back-up to other administrative assistants as circumstances require.
Preferred Qualifications
Bachelorâ™s degree.
Experience working in a legal office environment.
Strong accounting or bookkeeping skills.
Knowledge of Washington University systems.
Proficient in Microsoft Office Suite and ability to learn and use legal database application.
Ability to work independently, assume responsibility for completing tasks and exhibit strong time management skills.
Ability to work in a team environment and take instructions from attorneys.
Excellent oral and written communication skills.
Strong attention to detail and excellent organizational skills.
Professional demeanor and strong client service skills.
Excellent analytical and problem-solving skills.

Notary Public Commission or willingness to obtain.
Required Qualifications
High school diploma or equivalent high school certification.
Three years of related experience.

Salary Range
$20.15 - $31.26 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
