Summary for the Practice Management Coordinator
The Practice Management Coordinator is responsible for providing proactive administrative support to the Chief Practice Operations Officer, Directors of Practice Management, Practice Manager, Practice Management Specialists, and other department personnel as needed. The Practice Management team supports the strategic and profitable growth of the firm’s legal departments and practice groups. This role requires strong attention to detail as well as excellent technical, organizational, written and oral communication skills. The Practice Management Coordinator should maintain professionalism and strict confidentiality in all client and firm matters.
The Practice Management Coordinator position can be located in either the Chicago or New York office. Katten offers a hybrid work model, allowing the flexibility to work both on-site and remotely on a regular basis (KattenFlex).
Essential Duties and Responsibilities include, but may not be limited to, the following. Other duties may be requested and/or assigned. Handle a high volume of legal department and practice group meeting scheduling, including related logistics, hybrid (Zoom and onsite) I.T. setup, catering requests, conference room arrangements, and circulation of Outlook invitations/reminders locally and across multiple offices/time zones. Manage and maintain a running calendar of recurring meetings for the Practice Management team.
Provide onsite support as needed for internal meetings, events, and department or practice group retreats.
Maintain department and practice group Intranet pages, internal project tracking documents, and personnel reports such as department, practice and leadership rosters.
Assist with upkeep of knowledge management and practice resource databases.
Assist with presentation materials and content development for department, practice group, and firm leadership meetings.
Support Practice Management team members with development and circulation of recurring weekly and monthly performance reporting packages, practice group leadership resource documents, and other items as needed.
Maintain process documents and contact lists for team initiatives, ensuring that the proper versions are consistently updated and accessible, as well as regular audits of existing document versions, file organization, and security permissions.
Coordinate orientation schedules for lateral partner onboarding; facilitate scheduling communications, invitations, follow-ups and reminders.
Prepare expense reports and process department expenses as requested.
Maintain knowledge of firm operating procedures, departments and key contacts.
Frequently collaborate effectively with members of other functional support teams.
Assist with additional projects and firm initiatives as requested by Chief Practice Operations Officer or Practice Management team members.
Knowledge, Skills and Abilities
Bachelor’s Degree and two or more years progressive administrative support experience, preferably in a large law firm; or equivalent combination of education and experience. Prior experience working in professional services or law firm preferred.
Computer proficient with working knowledge of MS Office required (Word, Excel, PowerPoint), Outlook, Adobe software, and virtual meeting software (Zoom preferred). Strong document formatting and data entry skills required.
Excellent organizational skills including calendar management, record keeping, data collection, and system information. Ability to compile and analyze data and furnish information in report format, written correspondence, e-mail, or verbally.
Analytical and technical skills requiring an aptitude for detail and accuracy in order to perform essential administrative/clerical functions and utilize firm software.
Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, administrative abilities, and decision-making skills. Ability to work with frequent interruptions and adapt to changes in workflow.
Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, staff and outside contacts.
Required to work towards deadlines; must be able to work more than 37.5 hours per week in Chicago, 35 hours per week in New York.
The annualized salary range for this position in New York is $55,000 to $75,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
