To expand our team, we are looking for a committed Client Engagement and Conversion Specialist. Assuming this role, you will be crucial in persuading clients to schedule consultations and making sure they have a smooth and encouraging experience from the moment they contact the firm until their session. Your main duties will be to extend hospitality to clients from the moment they enquire, build their confidence and trust with insightful, informed responses regarding immigration law, and communicate a spirit of cooperation and concern. With each and every customer engagement, you are promoting our brand of superior quality, first-rate support, and exceptional service. You are skilled in pitching the company's culture, services, and institutional expertise. This will be accomplished through answering clients' initial calls and/or emails, setting up consultations based on which visa category the client might be eligible for, overseeing the client intake process, obtaining personal information and supporting documentation from the client, arming the attorneys with as much client data as possible prior to a consultation, and offering clients empathetic support throughout.
Responsibilities
Managing the incoming client pipeline, responding to inquiries, and selling/influencing clients to enroll in our services which begin with a consultation with one of our attorneys.
Schedule client consultations and meetings with attorneys in the Clio Case Management System.
Take ownership of the intake process, helping to develop systems and procedures to streamline and systematize the process taking advantage of what the Clio case management platform has to offer, and looking into potential integration of CRM’s where we want capabilities beyond Clio Case Management (like automated reminders, capturing client data, creating client contact groups for marketing and outreach purposes).
Upon initial contact with new and returning clients, have an understanding of what their immigration needs are, be able to ascertain the type of visa/green card/ help they will need, and then ask qualifying questions to gather as much information as possible before the attorney will conduct the consultation with the client.
Manage the schedules of two attorneys, coordinating their client consultations and appointments and ensuring they are adequately prepared for each client consultation.
Manage the consultation scheduling process, updating the client, attorney, and calendar with any changes.
Collaborate closely with attorneys and paralegals to ensure client inquiries are responded to in a timely manner.
Conduct comprehensive intake interviews/processes with clients to gather necessary information and documentation for their immigration consultation and prospective cases.
Provide attorneys with a summary of the client's situation prior to their consultation, enabling them to engage effectively and efficiently with the client.
Enter client data into case management systems prior to consultations.
Provide empathetic support and guidance to clients, addressing their questions and concerns with professionalism and care.
Maintain organized records of client communications and case-related documentation.
Embrace a service-oriented attitude focused on anticipating and fulfilling the needs of clients, attorneys, and staff involved in each client case. Continuously seek opportunities to enhance the client experience and streamline internal processes.
Set the client up with the Clio Client Portal and educate them on how to use it and assist with troubleshooting.
Always looking for ways to make the process as easy and painless for clients as possible.
Demonstrate a growth mindset in exploring and implementing technological solutions to improve the intake and client care process. Actively contribute ideas and strategies for leveraging technology to enhance efficiency and effectiveness.

Qualifications:
Bachelor's degree or equivalent experience.
Sales experience - able to influence and inspire people to work with the firm.
Previous experience working in immigration law is a must.
Proficiency in using the Clio case management system is preferred.
In-depth knowledge of various visa categories, including but not limited to B, E1/E2/E3, H-1B, H3, F1, J-1, L-1, O-1, P1, and employment and marriage-based green card processes.
Familiarity with the document requirements for each type of immigration case listed above.
Ability to anticipate what visa types will likely be discussed in a consultation based on the information provided by the prospective client in the initial outreach and draft clarifying questions or request supporting documentation that will be useful to an attorney in the consultation.
Excellent communication and interpersonal skills, with a strong emphasis on empathy and client care.
Exceptional organizational skills and attention to detail.
