The Transaction Coordinator supports the execution of commercial real estate transactions across brokerage and property management teams. This role plays a vital part in reducing risk exposure, maintaining deal accuracy, and enhancing operational efficiency. Reporting to the Senior Vice President of Finance and Development, the Transaction Coordinator works closely with portfolio managers, brokers, attorneys, and marketing staff to ensure a timely and compliant deal flow. This position is ideal for an organized, proactive professional with a strong understanding of legal documentation and real estate process management.
Essential Functions & Responsibilities • Prepare and review commercial real estate agreements for accuracy, legal compliance, and consistency before submission to legal counsel or senior management. • Draft lease modifications, assignments, and other supporting documents for the property management team. • Evaluate contractual risk in commission agreements, agency agreements, confidentiality agreements, and engagement letters—recommending revisions to improve compliance and consistency. • Create and maintain organized lease files, escrow files, and commission agreements for brokers. • Coordinate final deal documentation for submission to the Supervising Broker and ensure appropriate handoff to the marketing team for PR or social media publication. • Generate deal packets and commission bills for agents’ review and approval. • Communicate directly with landlords and their attorneys to resolve issues and ensure timely contract execution. • Track the return of fully executed agreements and maintain detailed records in compliance with company retention policies. • Scan and store leases and related documents in the electronic repository. • Perform additional duties as requested in support of transaction management.

Placement Criteria • Education: Paralegal certification required. • Experience: Minimum of three years of experience in commercial real estate transactions, legal/contract administration, or lease compliance. • Public Notary: Must have an active Public Notary license or be able to obtain one upon hire.
Required Skills and Competencies • Contract Knowledge: Strong foundational understanding of contract law and real estate legal instruments, including leases, amendments, and NDAs. • Communication: Excellent written and verbal communication skills, with the ability to coordinate across departments and stakeholders. • Problem-solving: Ability to work independently and resolve contract-related challenges proactively. • Organization: Immaculate attention to detail with the ability to manage and track multiple transactions simultaneously. • Technology Proficiency: High-level proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, video conferencing platforms (Zoom/Teams/Meet), and transaction management platforms such as RealPage, ID Plans, Placer.AI.
